ADMIN ASSISTANT

We are looking for a reliable and enthusiastic Admin Assistant to join the team at Cambridge Folk Festival HQ.

Purpose of the role

  • The postholder will be responsible for photocopying artist contractual, rider and technical information and collating this into folders for stage managers, catering, finance and contractors.
  • The postholder will also be expected to assist the Folk Festival Manager and Festival Coordinator and wider Festival team with administrative support for the Folk Festival. The postholder may also be required to support the Head of Accreditation with some tasks.

 

Reporting to                  Folk Festival Manager and Festival Coordinator 

Employed via                Flexy for Cambridge City Council

Duties

1. Photocopying artist contractual, rider and technical information and collating this into folders for stage managers, catering, and event control.
2. Ensuring that all work is accurate and thorough with corresponding records where appropriate.
3. If required, work under the direction of the Head of Accreditation and in accordance with the Festival’s complimentary pass policy and access pass guidelines, write out vehicle passes and meal tickets to the Folk Festival for artists, traders, staff, contractors and guests to the Folk Festival.
4. Liaising with other members of staff, artists, traders, temporary staff, contractors and guests, over the phone, via email and face to face.
5. Assisting with the administration of other aspects of the Festival, as directed.
6. Working as part of Backstage Stage 2 team at the Folk Festival.
7. To undertake any other duties as required by your line manager from time to time in accordance with the grading of the post.
8. Compile and distribute any stationary requests for onsite staffing teams including staff t-shirts.
9. Be aware of, and act in accordance with, Cambridge City Council’s policies on Equal Opportunities, Racial Equality, Disability and Harassment at Work in dealings with other staff and the public.
10. Be aware of, and act in accordance with, Cambridge City Council’s policies and procedures on Health and Safety at Work by adopting safe working practices; reporting any accidents and/or unsafe or hazardous conditions to management; and to do everything reasonable to prevent personal injury to themselves, fellow workers and members of the public.

Hours

3rd – 24th July: full time. 5 days per week. Approx 37 hours per week.
25th – 28th July. Each day during the Festival as per rota as part of Backstage Stage 2 team
29th – 30th July. 2 days finishing off after the Festival.
 

Rate of Pay

£12.00 Steward (Living Wage) per hour.

HEAD OF ACCREDITATION

We are looking for a reliable and enthusiastic Head of Accreditation to join the team at Cambridge Folk Festival HQ.

Purpose of the role

  • The postholder will be responsible for the allocation and distribution of entry passes for artists, traders, staff, contractors and guests to the Folk Festival, working to set policies and ensuring the accurate and thorough documentation of all passes issued.
  • The postholder will be responsible for setting up and collating all information needed to process and issue passes. This will involve working with Council and external systems so a good working knowledge of Microsoft Office Suit and Google Docs is essential.
  • The Postholder will have experience managing a team and will need to recruit and put together the team to run the accreditation on-site.
  • The postholder will also be expected to assist the Folk Festival Manager and Events Officer and wider Festival team with administrative support for the Folk Festival.

 

Reporting to                  Folk Festival Manager and Festival Officer

Duties

1. Using previous handover notes, the Festival’s complimentary pass policy and access pass guidelines policy, prep everything needed to issue person passes, camping and vehicle passes to the Folk Festival for artists, traders, staff, contractors and guests to the Folk Festival.
2. Set up and manage the guest list for artists, Councillors, sponsors and other invited guests.
3. Ensuring that all work is accurate and thorough with good attention to detail and update corresponding records where appropriate.
4. With the Festival’s Event officer, recruit staff needed for the on-site team.
5. Liaising with other members of staff, artists, traders, temporary staff, contractors and guests, over the phone, via email and face to face.
6. Assisting with the administration of other aspects of the Festival, as directed.
7. Transfer the office onto site ready to start issuing passes to vendors and staff on Wednesday 24th July.
8. Be aware of, and act in accordance with, Cambridge City Council’s policies on Equal Opportunities, Racial Equality, Disability and Harassment at Work in dealings with other staff and the public.
9. Rate of Pay

£4000.00 flat fee
